Positive Pay files can be customized so that they will match the format for whatever file generation upload is preferred. This can be done for Issued Check files, Paid Check files, and files used to add business clients. When logged in as a user with an Admin role and permissions, all of these file formats can be created and managed by navigating to Settings > File Formats. (Note that File Formats is available in the Configurations section of the Settings Screen.) To create a new file format, click “+ Add File Format” in the top right corner.
Each of the three file format usages (Issued Checks, Paid Checks, and Business Clients) are created the same way. The difference between the three are which fields are Required Fields and which fields are Optional Fields.
When creating a new file format, first select which type of format usage it will be: Issued Checks, Paid Checks, or Business Clients. Add a Name, Description, and the type of Delimiter in the file (Comma [,], Semicolon [;], or Pipe [|]). If you open the file in a Notepad, you can see which delimiter is being used. In this case, I am using a comma-delimited file.
Add the Header Line in the section below by either copying and pasting the header from a sample file or uploading a file with the header included. After this is done, the fields in the Header Line section can be mapped to Required Fields and Optional Fields using the dropdowns.
After the new file format has been created, configured, and saved, it can now be used to upload checks and business clients. For issued checks, navigate to Issued Checks > Uploaded Checks > Upload File. For paid checks, navigate to Paid Checks > Uploaded Checks > Upload File. For business clients, navigate to Settings > Business Clients > Import Clients.
