What are Batch Rules in TrueACH?
TrueACH Batch Rules are customizable settings that determine which transactions are processed when you upload your NACHA or other ACH files into TrueACH. When Batch Rules are configured, a variety of filters are applied to the ACH files as they get processed by the system. The end result is that you only process and review the items you determine are worth processing, without having to manually filter them out yourself.
It is important that you understand and configure any Batch Rules appropriately before uploading files to TrueACH. This will ensure that TrueACH is only processing and displaying the items you want to review.
How do I find the Batch Rules settings in TrueACH?
The Batch Rules configurations will be found under the Settings tab at the top of the TrueACH portal:
On this screen, you will select Batch Rules, and then you will see three columns for different types of TrueACH searches: one for Account Status only, one for AOA only, and one for Account Status + AOA together. You can separate rules you create by the type of inquiry.
From here, you can click on the “Add New Rule” button located at the bottom of a column to configure rules for that specific type of search.
There are many Batch Rules that you can configure. If you want some guidance, there is a question mark button in the top-right you can click while on this screen that will give a comprehensive breakdown of each setting.
It is important to note that when you are setting these rules, you are defining what inquiries you do want the system to run. For example, if you set up a rule that says, “Amount Greater Than $99,” your batches WILL process inquiries for all transactions over $99. In the next section, we will look at a few of the most common settings and some recommended configurations for them.
Common Batch Rules and Examples
Amount
The Amount allows you to configure a minimum or maximum threshold for inquiries on your transactions. In other words, you are determining which transactions get processed by TrueACH based on the dollar amount of that transaction.
For example, let’s say you will only run inquiries on transactions over $200. To do this, you can select Amount in the first dropdown, then Greater Than Or Equal To in the second dropdown, and then type “200” in the text box like this:
This common setup will make it so that only transactions of $200 or more will process. Conversely, transactions of $199.99 or less will be ignored in the specified column. In this case, we have selected Account Status + AOA inquiries.
Another common setup is used for processing microtransactions – transactions under $1. This is usually done for the Account Status only column. To do this, you would select Amount for the first dropdown, then Less Than Or Equal To in the second dropdown, then enter “1” for the text box like this:
When configured this way, any transactions of $1 or less will only be processed for Account Status. This can be useful to enhance the verification process for which microtransactions are normally performed.
On Us Transactions
Another common and recommended setting is excluding On Us Transactions. Turning this rule on will stop inquiries on transactions from your own institution, sometimes called “outgoing” or “on us” transactions. Configuration for On Us Transactions is very simple; once you select On Us Transactions in the first dropdown bar, the other two options default to Equals To and Exclude. This will look like the image below:
If you do want to process your own institution’s transactions for whatever reason, simply remove this rule if it has been configured. To remove a condition within a rule, you can click on the trash icon located on the right-most side of the screen:
